Feature bloat happens when vendors pack their AI products with capabilities that only make sense for enterprises — advanced compliance tools, massive user licenses, integrations with systems most small businesses don't even use. You're paying for features you'll never touch.
Implementation overhead is what we call the "hidden cost" — hours of consulting, custom integrations, training programs that assume you have an IT team. For a company of 20 people, these costs can exceed the software itself.

Start small. That's our consistent advice, and it exists because it works.
Rather than buying a comprehensive AI platform, identify one specific process that drains time or creates bottlenecks. Maybe it's customer response emails. Maybe it's meeting notes. Maybe it's data entry.
What to ask/consider: Which single process, if automated, would create the most immediate value for your team?
Once you've identified that process, find a solution that addresses just that. No more. No less. This is what we mean by "right sized" — a tool that solves one problem exceptionally well rather than fifty problems adequately.
Prove value before you scale. This philosophy isn't about being conservative. It's about being smart. Why invest in a massive AI rollout when you haven't proven the concept works in your specific context?
Making the Numbers Work
The reality is that right-sized AI solutions often cost less than you think. Here's what to look for:
- Usage-based pricing — pay only for what you use, not per-seat
- Pre-built templates — skip the custom development
- Minimal training requirements — your team should be productive within days, not months
Scale what works. After your first AI implementation proves its value — and it will, if you chose the right problem — then expand. But never before.
